EVENT COORDINATOR AT THE KESTER HOMESTEAD
Your role as the Event Coordinator for The Kester Homestead is to lead the execution of our weddings and events with a creative, personable, and professional demeanor ensuring our couples have a magical experience. We create bespoke, immersive experiences on our property and the Event Coordinator is the leader of the show - ensuring all of the parts and pieces come together seamlessly.
Your duties are year round and include handling all of the prep work leading up to an event — such as hosting tours, scheduling planning meetings, promptly answering emails, invoicing clients, organizing spreadsheets/calendars, interfacing with outside vendors, staffing and scheduling a seasonal team, as well as other office and administrative tasks. The job will include regular website maintenance, ensuring the most up to date information is shown, as well as marketing support through maintaining our social media and sharing monthly newsletters to showcase our offerings here at The Homestead. You will work with the housekeeping team to maintain the interior of the house and barn and ensure visual standards are met before each event. Most importantly, you will manage the execution of events — including set-up, styling, timekeeping, vendor coordination, staffing, scheduling, invoicing and leading the show for each of our couples and the team. Our goal is to honor our couple’s vision - bringing it all to life in an effortless way, and ensuring the event runs safely, smoothly and on-time to the very best of our ability.
RESPONSIBILITIES:
During the season, you will lead the events as the Event Coordinator as the main point person and manager overseeing all aspects of the booking.
You will hire, train and manage the team during the season, including staffing and scheduling for each event based on specific event needs.
You will handle all office/admin work to prepare for events (ie. populate “The Plan”, invoices, couples profiles, website updates, etc.).
You will act as the main contact for couples, vendors, and our in-house team to ensure the event is executed to meet guest’s expectations to the best of our ability.
You will staff and schedule all pre-season and post season needs for the venue and events, including preparation of the space.
You will work with the housekeeping team during your office hours to ensure the house/barn is to our visual standards.
You will be in charge of marketing and social media, ensuring the business is hitting our targeted posting goals and generating leads
You will maintain a business sensibility for profitability when hiring and staffing to ensure all bookings and events are profitable and hitting targeted margins.
You will be required to hit quarterly sales goals in order to be successful in this role.
You must be available to work most weekends from mid-May to mid-October
BENEFITS:
Salary of $50,000/yr with an additional $10,000 year end bonus upon completion of events and sales goals
Commission earned at year end from additional packaged booked
2 weeks (10 days) of PTO (in the off-season)

This position is most ideally suited for a person with 2-5 years of Event Coordination experience, preferably in the wedding space. This person must have experience leading and managing a team. The ideal candidate has a balance of creativity and vision, is a self starter, hardworking and highly detail oriented. You must be comfortable working long days and most weekends in the season and can balance office time (whether remote or in-person) to maintain your other responsibilities.
Ideally this candidate is experienced in Squarespace (our website platform) and has basic working knowledge of Google Drive, Gmail, Photoshop or Canva.
